Behind the Scenes.. What happens before a team building event?

Recently, we hosted a Bake For A Cause event, where participants baked goodies to be donated to the Red Cross. While attendees arrived eager to bake, little did they know the extensive behind-the-scenes effort that made the event seamless and enjoyable. Here’s a glimpse into what it takes to bring one of these experiences to life.

It All Starts with a Meeting

Once a client confirms their event and secures it with a deposit, the gears start turning. Each week, our team holds a dedicated scheduling meeting to lay the groundwork for the upcoming events. During this session, we map out everything, including class schedules, dietary requirements, chef assignments, and the all-important ingredient orders.  

Ingredient planning and ordering begins on a Monday, ensuring everything arrives fresh the following day. From there, our chefs roll up their sleeves and get to work on the mise en place—the art of arranging ingredients. Every measurement, every bowl, and every tool must be prepared with the number of participants and teams in mind. It’s culinary precision at its finest and is essential to making sure the cooking or baking process flows without a hitch.  

Admin to the Rescue

On the day of the event, our admin team becomes the engine that keeps everything running smoothly. Their goal? Ensuring a flawless experience for participants.  

Here’s a quick look at their checklist for a Bake For A Cause event like this one:

  • Drinks Counter – Stocked with everything participants might need to stay refreshed, including water (hot and cold), tea, coffee, sugar, and any extras.  
  • Aprons – Each apron is neatly folded and ready to be distributed to our enthusiastic bakers.  
  • Welcome Signage – A bright, friendly welcome sign is placed outside, ensuring participants feel at home the moment they arrive.  
  • Mic Check – For a large class, the chefs may use a microphone to ensure instructions are heard clearly. The admin team sets this up in advance.  
  • Takeaway Containers & Cards – With a giving heart at the centre of Bake For A Cause, admin ensures that all takeaway boxes and cards are ready so participants can package the baked goods for their recipients—in this case, the Red Cross.  

Additionally, our team liaises with the charity to confirm pick-up logistics, ensuring all the baked goods will be delivered smoothly after the event.  

The Big Day in the Kitchen  

By the time participants walk through our doors, the stage has been perfectly set. The kitchen is gleaming, the tables are sparkling, and the ingredients are laid out systematically. Everything from the scales to the piping bags is in its rightful place, ready for the bakers to get to work.  

It’s here that our chefs’ expertise shines. Not only have they prepared the mise en place with precision, but they’re on hand to guide participants, share pro tips, and inject energy and fun into the day.  

Meanwhile, our admin team remains unobtrusively in the background, always on hand to address last-minute needs or answer questions.  

Smiling Through the Day

Once the participants arrive, the buzz begins. Some might guess that hosting these kinds of events involves a lot of planning, but the majority don’t realise the extent of what goes on behind the curtains. And that’s precisely the way we like it—professional, smooth, and seamless.  

We love seeing teams come together, dive into baking (often for the first time!), and create not just delicious treats but also lasting memories. For a Bake For A Cause event, there’s the added joy of knowing their efforts will make a meaningful difference for a charitable cause, and isn’t that the sweetest part of the day?  

And Then, We Do It All Again  

Once the event wraps up, and the last box of baked goods is whisked away to its charitable destination, the smiles on the chefs’ and admin team’s faces aren’t just for show. There’s a deep sense of satisfaction in knowing we’ve played a part in creating a truly special team-building experience.
